Pre-Event Preparation
OFFICE VOLUNTEERS - Assist at the office in the weeks leading up to the event; Preparing auction items; Packing supplies; Data entry, etc.
Event Day
(UPSTAIRS) Silent Auction
GREETER – 2 stationed at front door; friendly, energetic; Could be only role then go attend Gala. Additionally need volunteers stationed from parking garage to event space to ensure that guests know where to go.
FINANCE/REGISTRATION - Behind the scenes” role stationed for the entire event; Sitting; Personable; Comfortable around math; Cannot participate in the silent auction or participate in event as guest. Data entry once silent auction closes. At 6:30pm only need to keep 3 volunteers here, 1 remaining will help close Silent Auction tables and run bid sheets back to Registration tables, and then a different job.
(UPSTAIRS) Silent Auction
SILENT LEAD - Problem solvers; Think on their feet; Leadership; Know the games and ticket sales needs of their zone.
PHOTOBOOTH AID - Assist photographer with any needs
SILENT AUCTION LEADS - Lead organization of auction items, bagging, etc., and supervising aids. Need to be a problem solver, think on your feet, be a leader, and be familiar with event features and any ticket sales needs of their zone.
SILENT AUCTION AID - Monitoring auction; Interacting with guests; Talking up auction items; Fast! After auction closing, pulls sheets for no more bidding; Post auction… during dinner, haul everything downstairs to check out, all hands-on deck quietly.
LIVE AUCTION PROMOTIONS - Build excitement! Make sure people know what’s coming at dinner; Promote items; Talker!
CHECK OUT LEAD – Oversee all silent auction volunteers working together to move all auction items to checkout area and arrange system for volunteers to find and pack together winning items by bidder number. Serves as a point person for trouble shooting and overall management of checkout process (items only – not payment, receipts, etc).
CHECK OUT VOLUNTEERS – Assist with pulling items for guests by bidder number. Some volunteers will be assigned to assist guests with getting winnings to their car using carts if they won large items or a lot of items.
WINE CORK PULL VOLUNTEERS – 2 volunteers. Guest picks cork number with a mystery wine bottle number. One volunteer at the table to mark winning bidder numbers on a mystery bottle of wine. One engaging with guests to sell tickets to pick a mystery bottle of wine.
TREASURE CHEST – 2 volunteers, wandering event space, actively engaging with guests, selling tickets and providing bead necklace to purchasers. Explaining what “Treasure Chest” is. Carry information on contents of Treasure Chest.
BEST OF LIVE TICKET SALES – 2 volunteers, wandering event space, actively engaging with guests, selling tickets and providing bead necklace to purchasers. Only 100 sold. Explain what is “Best of Live”. Can exclude some live items.
HEADS OR TAILS TICKET SALES - 2 volunteers, wandering event space, actively engaging with guests, selling tickets and providing bead necklace to purchasers. Explain Heads or Tails and notify guests it is played during event.
STATIONARY TABLE SALES – 2 volunteers. 1 Table; Sit & sell for “Treasure Chest”, “Best of Live,” and Heads or Tails tickets.
(DOWNSTAIRS) Dinner & Program
NOTE: These roles are likely to be carried over from Pre-Event activities.
LIVE AUCTION AIDS (2) - Trained by auction company
RECORDERS (4) - Sitting at table; Good-listening
SPOTTERS (4) - Standing; Good eyesight
RUNNERS (2) - Walk quickly from live to registration location
LAST MINUTE TICKET SALES (1) - Best of Live/Heads or Tails people are now downstairs
